General Information

The module exports the payroll transactions for the selected restaurant and month. As soon as you open the module, the system automatically checks whether all required data is available.

Data Availability

Reflexis

All payroll transactions from the previous day are transmitted daily at 07:00 AM from Reflexis to Webcockpit.

MeinDienstplan

All payroll transactions from the previous month are transmitted to Webcockpit after the month is confirmed in MeinDienstplan.

Procedure/Operation

Step 1: Filter Button

  • Date: Select the month for which data should be exported.

Note: This always refers to the time of transmission from the upstream system. Example: If a time entry from March is corrected in April, the correction is exported when “April” is selected.

  • Source: RDS, Reflexis, or MeinDienstplan.

Select the system you are using. If you use multiple systems, create 2 exports. The first with system 1 and the second with system 2 selected. Special case employee meals: These are automatically transmitted from RDS and MyStore (own share) and exported independently of the selected source. |

Step 2: Data Check

After selecting the month, the system performs some automatic checks. The results are visible via the following tabs:

  • Settings
  • Restaurant Data
  • Employees
  • Pay Types
  • Missing Employees

Settings

Checks the general export settings (consultant/client number). If problems are shown here, they can be fixed in the “DATEV Master Data” module -> “Settings” tab.

Restaurant Data

Overview per restaurant up to which date data is available. If data is missing here, contact the Reflexis/MeinDienstplan provider and have them check why no data was transmitted.

Employees

List of employees whose master data has not been maintained. If problems are shown here, they can be fixed in the “DATEV Master Data” module -> “Employees” tab.

Pay Types

List of pay types whose master data has not been maintained. If problems are shown here, they can be fixed in the “DATEV Master Data” module -> “Pay Types” tab.

Missing Employees

List of employee numbers for which payroll transactions were transmitted but for whom no employee master data record exists in the restaurant. If employee numbers are listed here, first check whether they are relevant, e.g. by checking in the source system why something was booked for this number.

If everything is correct there and the employee is actually missing, proceed as follows: In the “DATEV Master Data” module -> Employees tab: create the missing employee. You can now perform the DATEV export. IMPORTANT: The employee must also be created in the restaurant so that they are automatically displayed in Webcockpit in the next month.

Step 3: Export Button

DATEV Export

Option Description
Export Options Text File = Download, Email = Export is sent to the specified address
Differential Export (what has not yet been exported) If the export is executed multiple times for the selected period, this option exports all records that have not yet been exported.
Test Export Creates an export without the system marking the data as “already exported”. This affects the “Differential Export”.
Exclude previous month With this option, only transactions that took place in the selected period are exported. This excludes, for example, corrections for the previous month.

Restaurant

Select the restaurants for which you want to create the export.

Apply Filter

When clicking the “Apply Filter” button, the export is created. …and yes … we will rename the button to “Create Export” =)
